Position Summary

The Facilities Coordinator supports the day-to-day operation, maintenance, and readiness of the MRO facility, ensuring that the building, production areas, utilities, equipment-support infrastructure, and common areas are safe, functional, clean, and compliant with company, regulatory, and environmental requirements.

This position serves as a key coordination point between Facilities, Maintenance, Production, Engineering, EHS, Quality, Security, Procurement, contractors, and external service providers. The Facilities Coordinator will coordinate work orders, preventive maintenance activities, vendor services, facility inspections, building services, and facility-related projects while maintaining accurate documentation and records.

The ideal candidate is highly organized, responsive, safety-focused, and comfortable working in a large industrial/MRO environment where facility availability and operational continuity are critical.

Key Responsibilities

Facility Operations

  • Coordinate daily facility activities to ensure the MRO site remains safe, clean, functional, and operational.
  • Coordinate responses to facility issues, outages, leaks, equipment failures, and other building-related emergencies.
  • Support facility readiness for production operations, new equipment installations, area expansions, and operational changes.
  • Work Orders & Preventive Maintenance
  • Coordinate facility work orders from initiation through completion.
  • Track preventive maintenance activities and ensure required work is completed on schedule.
  • Maintain accurate records of repairs, inspections, maintenance activities, and facility assets.

Vendor & Contractor Coordination

  • Schedule vendors for routine services such as HVAC, electrical, plumbing, janitorial, waste management, pest control, landscaping, fire protection, elevators, and other facility services.
  • Assist with obtaining quotes, comparing vendor proposals, creating purchase requisitions, and tracking purchase orders and invoices.

MRO Production Support

  • Coordinate facility activities around aircraft engine maintenance operations to minimize disruption to production.
  • Support preparation of work areas for new equipment, machinery, tooling, utilities, and production processes.
  • Coordinate shutdowns and facility work that could impact production operations.
  • Assist with facility requirements associated with engine maintenance areas, inspection areas, cleaning operations, warehouses, offices, training areas, and logistics operations.

Safety, Compliance & Environmental

  • Support compliance with applicable OSHA, EPA, FAA, EASA, fire code, environmental, and local regulatory requirements as they relate to facility operations.
  • Coordinate required facility inspections, testing, certifications, and corrective actions.
  • Maintain documentation for inspections, permits, service records, and compliance activities.
  • Support emergency preparedness activities, including fire protection, emergency response, evacuation, and business continuity activities.

Facility Projects

  • Assist the Facilities Project Managers with facility improvement and construction projects.
  • Assist with project documentation, punch lists, inspections, and closeout activities.

Space, Inventory & Asset Management

  • Coordinate office, production, warehouse, and common-area moves and changes.
  • Identify facility-related material requirements and coordinate purchasing.
  • Support management of building keys, access devices, signage, furniture, and other facility assets.

Required Qualifications

  • High school diploma or equivalent required.
  • 10+ years of experience in facilities coordination, building operations, industrial maintenance, construction coordination, or a related field.
  • Experience with computerized maintenance management systems (CMMS).
  • Experience working in an industrial, manufacturing, aviation, MRO, warehouse, or large commercial facility environment preferred.
  • Strong organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to coordinate multiple projects, work orders, vendors, and priorities simultaneously.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.
  • Ability to read and understand basic facility drawings, layouts, and equipment documentation.

Working Conditions

  • Primarily based within a large industrial/MRO facility. Combination of office work and field work.
  • Regular exposure to production, warehouse, mechanical, utility, and construction areas.
  • May require walking throughout the facility for extended periods.
  • May occasionally require work outside normal business hours to support emergencies, shutdowns, contractors, or critical facility activities.
  • May need to lift or transport materials weighing up to 50 pounds.
  • Required to follow all facility PPE, safety, security, and access requirements.
